Meeting rules
Settings > General > Meeting rules. The Personal tab is open to everyone; the Team tab is restricted to people allowed to manage their team; the Company tab is restricted to people allowed to change company settings.Tabs and hierarchy
| Tab | Who sees it | What its values set |
|---|---|---|
| Personal | All users | Your own rules. They only apply to your meetings. |
| Team | People allowed to manage their team | The defaults for the members of your team. |
| Company | People allowed to change company settings | The defaults for the whole company, plus the settings that only exist at this level and the edit locks. |
Each user has their own values: those are the ones that apply to their meetings. The team's values, then the company's, serve as defaults; changing a default does not change the choices members have already made. Only the Apply to the whole team or Apply to the whole company button, in the block footer, replaces the values of all the members concerned, after confirmation. This button appears on the Team and Company tabs, on the Meetings covered by the GDPR email, Automatic assistant attendance, Summary recipients and AI preparation insights blocks. The Anonymization block has none.
One exception to the hierarchy: anonymization enabled at company or team level applies to every meeting concerned, with no way to disable it meeting by meeting.
Each tab has its own address. Opened without a tab, the page returns to the last tab visited, or to Personal if it is no longer available.
Editable by users
On the Company tab, the Editable by users switch appears in the footer of the Meetings covered by the GDPR email, Automatic assistant attendance, Summary recipients, AI preparation insights and Anonymization blocks. It is enabled by default on the first four and disabled by default on anonymization. When disabled, the setting stays visible on the Personal and Team tabs, but greyed out. The same locks are gathered on the Permissions page, Meetings section.
A lock does not change the value a member has already chosen: it only prevents them from changing it.
General settings: Before the meeting
| Setting | Options | Default | Requires | Effect |
|---|---|---|---|---|
| Meetings covered by the GDPR email | Multiple selection: Meetings I own, Meetings I'm invited to. Empty: None. | Meetings I own | — | Your contacts receive the GDPR email one hour before the start of the selected meetings. No option selected: no email is sent. The content of the email is set on the emails page. |
| Automatic assistant attendance | Multiple selection: Internal meetings (between members of your company), External meetings (with contacts outside your company), Meetings I own, Meetings I'm invited to. | No internal or external meetings, Meetings I own and Meetings I'm invited to ticked | — | The assistant joins, without a manual invitation, the meetings that meet both an attendee criterion and a role criterion. Example: External meetings and Meetings I own cover the client meetings you organize, not those you are invited to nor your internal meetings. As long as no combination is complete, a warning reminds you that the assistant will never come on its own. |
With a Teams or Zoom integration on your account, the Automatic assistant attendance block shows three fields instead of the multiple selection:
| Setting | Options | Default | Requires | Effect |
|---|---|---|---|---|
| Record meetings I own | Leexi assistant, Native recording, No recording | Leexi assistant | Teams or Zoom integration | Chooses the recording method for the meetings you organize. Native recording uses Teams or Zoom recording rather than the assistant. |
| Record meetings I'm invited to | Leexi assistant, No recording | Leexi assistant | Teams or Zoom integration | Chooses whether the assistant records meetings organized by someone else. Native recording is not offered for these meetings. |
| Record internal/external meetings | Multiple selection: Internal meetings, External meetings. Empty: No meetings. | No meetings | Teams or Zoom integration | Chooses whether recording applies to internal meetings, external meetings or both. Combines with the two previous fields. |
General settings: During the meeting
This block only exists on the Company tab.
| Setting | Options | Default | Requires | Effect |
|---|---|---|---|---|
| Keep the assistant during silences | Switch | Disabled | Restricted to people allowed to change company settings | When enabled, the assistant stays in the meeting even after two minutes without any exchange. Applies to the whole company, with no lock or apply button. |
General settings: After the meeting
| Setting | Options | Default | Requires | Effect |
|---|---|---|---|---|
| Summary recipients | Everyone, Leexi participants, Meeting organizer | Leexi participants | — | Defines who receives the meeting notes by email at the end of the meeting. Everyone includes contacts outside your company and asks for a confirmation. Leexi participants: the attendees who hold a Leexi license from your company. Meeting organizer: the person who created the meeting. |
| Send to all Leexi participants if the organizer does not have a Leexi account | Switch, only visible with Meeting organizer | Enabled | — | Prevents no summary from being sent when the organizer is external: the summary then goes to the Leexi participants who attended. |
| Receive the full transcript as an attachment (PDF) | Switch | Disabled | — | Adds the full transcript as a PDF to the summary email. It follows the same recipients as the summary. This switch is not greyed out by the block's lock. |
| Allow external call sharing | Switch | Enabled | Restricted to people allowed to change company settings | Company tab only. When disabled, users can no longer share calls with people outside the company. No lock or apply button. |
| Automatically anonymize generated content | Switch | Disabled | Business plan. Without it, the switch is greyed out with the Requires a Business license tooltip. | Team and Company tabs only. Replaces the names, email addresses and phone numbers spoken with generic labels in the transcript and the content derived from it. At Company level, applies to every meeting of the company; at Team level, to every meeting of the team. No apply button. |
Meeting Hub
| Setting | Options | Default | Requires | Effect |
|---|---|---|---|---|
| Enable AI preparation insights for your meetings | Switch | Disabled | Business plan. Without it, the switch is greyed out with the Requires a Business license tooltip. | Gives access in the Meeting Hub to the summaries of related meetings to prepare the next conversations, and enables the briefing email. Enabling it ticks the two options below; unticking both disables it. |
| Generate AI recommendations | Checkbox, visible when insights are enabled | Ticked when insights are enabled | Business plan | Generates recommendations based on previous meetings. |
| Include information from the web for external meetings | Checkbox, visible when insights are enabled | Ticked when insights are enabled | Business plan | Adds information about companies, recent news and attendee profiles for external meetings. |
| Enable manual validation of call pages by Reviewers | Switch | Disabled | Business plan and restricted to people allowed to change company settings. Without the plan, the Requires a Business license tooltip is shown. | Company tab only. Lets you appoint people in charge of checking the meeting notes before they are sent. Disabling it makes all validated and under-review calls public, after confirmation. No lock or apply button. |
Team settings from the team form
The same team values can also be changed from the team form, under Settings > Company > Teams & Users, as switches: recording of external, internal, invited and organized meetings; GDPR email for meetings organized by members and those members are invited to; briefing email with web search and recommendations; summary recipients and transcript attachment; anonymization. The company's locks apply there in the same way.
