Assistant behavior
Meeting end reasons
Each assistant departure reason shown on a meeting's card, what it means and what you can do.
Definition: When the assistant leaves a meeting, that meeting's card on the home page shows
Assistant ended: followed by a reason. The reason explains why the assistant left, whether or not it recorded. It is visible to anyone who can see the meeting, by expanding the card. It cannot be edited. Before joining the meeting
The assistant could not join the meeting. Nothing was recorded.
| Reason shown | What it means | What you can do |
|---|---|---|
| The assistant was not accepted into the meeting | Nobody admitted the assistant from the waiting room within 9 minutes, or the organizer rejected its request. | Re-invite it from the home page and admit it when it shows up. |
| The meeting link or ID provided was invalid | The event's meeting link does not lead to any meeting. | Check the link in the calendar event, then re-invite the assistant with the right link. |
| The meeting required a password to join, which is not supported | The meeting asks for a password the assistant does not know. | Remove the password from the meeting or include it in the invitation link. |

| The meeting required acceptance of a disclaimer, which is not supported | Zoom shows a clause on entry that the assistant cannot accept. | Disable the entry disclaimer in the organizer's Zoom settings. |
| Microsoft Teams refused the assistant's name. Rename the assistant in Settings. | The assistant's name contains a character Teams refuses. | Change the name in Settings > Company > My logo, assistant tab. The rules are on My logo. |
| Webinars are not supported by the assistant | The link leads to a webinar, not a meeting. | Record the webinar from the platform and import the file into Leexi. |
| You haven't yet activated the Zoom integration. Please activate it in Settings -> My integrations. | On Zoom, the assistant needs the Zoom integration of the person inviting it. | Enable Zoom in Settings > General > Integrations, then re-invite the assistant. |

| The organizer did not respond to the recording permission request | On Zoom, the organizer did not answer the recording permission request. | Ask the organizer to accept the request when it appears. |
| The organizer rejected the recording permission request | On Zoom, the organizer refused recording permission, or withdrew it during the meeting. | Agree with the organizer to accept the recording, then re-invite the assistant. |
During the meeting
The assistant joined the meeting. What was captured before it left is processed normally.
| Reason shown | What it means | What you can do |
|---|---|---|
| No participants joined the meeting | The assistant stayed alone for 9 minutes. | Nothing to do if the meeting did not take place. Otherwise, re-invite the assistant once participants are there. |
| All participants left the meeting | The meeting ended normally. | Nothing to do: the meeting notes arrive after processing. |
| The user who invited the assistant has left the meeting | On Zoom, the assistant leaves when the person who invited it leaves the meeting. | Stay in the meeting until the end, or re-invite the assistant when you come back. |
| The assistant was removed from the meeting | A participant removed the assistant. | Re-invite it if the removal was not intended. |
| The assistant was stopped manually by the user | Someone stopped the assistant from Leexi. | Re-invite it to resume recording in a new meeting. |
| The meeting was silent for 7 consecutive minutes | No sound for 2 minutes, then 5 more minutes after the warning in the chat. | Check the microphones and re-invite the assistant. To keep it in the meeting despite silences, enable Keep the assistant during silences. |
| The assistant left after 4 hours, the maximum meeting duration | The maximum recording duration was reached. | Re-invite the assistant to continue in a new recording. |
| An unspecified error occurred, causing the meeting assistant to leave | A technical issue interrupted the assistant. | Re-invite it. If the problem keeps happening, contact support with the run ID shown on the meeting's card. |
One label rounds the actual value: the maximum recording duration is 3 h 59, not 4 hours. The silence label is exact: 2 minutes before the warning, then 5 minutes, 7 minutes in total. The precise thresholds are on Timings and thresholds.
