Anonymization labels
The four labels that replace personal information in an anonymized transcript, what each one covers and what stays in plain text.
Definition: When anonymization is enabled, Leexi replaces in the transcript every spoken piece of information that identifies a person with a neutral, numbered label. Labels are always written in English, whatever the meeting's language, so they stay identical in the transcript, summaries, translations and exports. The setting is enabled in the meeting rules, Anonymization block, at company or team level.
The four labels
| Label | What it replaces | Examples |
|---|---|---|
[CITED PERSON n] | A spoken person's name: first name, last name, full name or nickname, whether the person takes part in the meeting or is only mentioned. | "I'll check that with [CITED PERSON 1] tomorrow." |
[EMAIL n] | An email address, including one spelled out in words ("john dot smith at…"). | "Send it to [EMAIL 1]." |
[PHONE n] | A phone number, including one dictated digit by digit, recognized as a valid number. | "Call me back on [PHONE 1]." |
[REDACTED NUMBER n] | Any other number that identifies a person or an account: IBAN, bank card, customer, contract or ID document number. | "File [REDACTED NUMBER 2] is approved." |
Numbering rules
- The
ncounter is specific to each label type: the first person cited is[CITED PERSON 1], the first address[EMAIL 1], even if they appear in the same sentence. - A given person keeps the same number throughout the meeting, however their name is pronounced or transcribed.
- A first name on its own is matched to the corresponding full name when there is only one possible match: "John" and "John Smith" get the same label. If there are several Johns, each form gets its own number.
- Email addresses and numbers are compared in normalized form: two different dictations of the same number get the same label number.
- Sequences of seven digits or more are always examined: those recognized as phone numbers become
[PHONE n], the others[REDACTED NUMBER n]. A long number unrelated to a person can therefore be masked.
What is not replaced
- Names of companies, products, cities and job titles.
- The speaker names shown at the start of each speaking turn, the list of participants and the meeting title.
- The content of the audio and video recording, which stays unchanged.
- Notes sent to the CRM and notifications, which always show who took part.
Scope
Anonymization applies to the transcript as soon as it is processed, then to everything derived from it: main and secondary summaries, chaptering, tasks, translations, captions, Ask Leexi answers, exports, sharing pages and snippets. It covers meetings recorded after the setting is enabled and cannot be reversed from the interface. If processing cannot cover the whole transcript, the meeting is hidden rather than published partially anonymized.
