Assistant behavior
Timings and thresholds
When the assistant is scheduled, how long it waits, how it handles silence and when it leaves the meeting on its own.
Definition: This page gathers every timing that governs the assistant's presence in a meeting: when it arrives, how long it waits in the waiting room or in an empty meeting, the silence departure rule and the maximum recording duration. These values are the same for every company and every platform. The only setting that changes them is
Keep the assistant during silences, under Settings > General > Meeting rules, Company tab, restricted to people allowed to change company settings.Scheduling and arrival
The assistant is scheduled from your connected calendar. It is prepared a few minutes before the event's start time, then joins the meeting 30 to 60 seconds before that time. A manual invitation from the home page makes it join immediately.
If the event is created or moved less than 15 minutes before it starts, there is no time to prepare in advance: the assistant is launched as soon as the event is detected and may arrive a few minutes late. An event whose start is pushed back by more than 15 minutes is simply rescheduled.
Thresholds during the meeting
| Situation | Delay | What happens | End reason shown |
|---|---|---|---|
| Arrival in the meeting | 30 to 60 seconds before the start time | The assistant joins the meeting or asks to be admitted. | — |
| Event created or moved less than 15 minutes before the start | A few minutes' delay possible | The assistant is launched as soon as the event is detected, without advance preparation. | — |
| Waiting room with no response | 9 minutes | Nobody admitted the assistant: it leaves the waiting room. You can re-invite it from the home page. | The assistant was not accepted into the meeting |
| No other participant | 9 minutes after joining | The assistant is alone in the meeting: it leaves without a usable recording. | No participants joined the meeting |
| All participants gone | Immediate | The assistant leaves the meeting and the recording is processed. | All participants left the meeting |
| 2 minutes of silence | 2 minutes without sound | The assistant writes in the chat that the meeting is silent and that it will leave in 5 minutes if nothing changes. It then checks every minute. | — |
| Sound detected during those 5 minutes | As soon as it is detected | The assistant thanks the participants in the chat and keeps recording. A new 2-minute silence triggers the warning again. | — |
| Silence confirmed | 5 minutes after the warning, 7 in total | The assistant announces in the chat that it is leaving, then leaves the meeting. The recording already captured is processed normally. | The meeting was silent for 7 consecutive minutes |
| Maximum recording duration | 3 h 59 | The assistant announces in the chat that it has reached the maximum duration, then leaves the meeting. Re-invite it to keep recording in a new meeting. | The assistant left after 4 hours, the maximum meeting duration |
Silence rule in detail
- Silence is measured on the sound the assistant picks up, not on microphone status. A participant speaking with their microphone muted counts as silence.
- During a pause (
/pauseor the Leexi app button on Teams), silence detection is suspended. It resumes when the recording resumes. - On Zoom and Apizee, the assistant has no access to the chat: the rule applies in the same way, but without a visible warning message.
Keep the assistant during silencesenabled: the assistant stays in the meeting regardless of silence. Only participants leaving, a manual stop and the maximum duration make it leave.
