E-mail templates
Settings > Company > E-mail templates and is restricted to people allowed to edit their team's templates (Team manager and higher roles). People allowed to edit every template (Company manager, System admin, Super admin) see those of every team; the others only see their team's.Tabs
| Tab | What it shows |
|---|---|
| All | Every visible template. |
| Owned | The templates of the Owner of a Meeting category. |
| Invited | The templates of the Invited to a Meeting category. |
The two categories
There is one template per team, per category and per call language. Templates are created automatically with the team; the page does not allow adding, deleting or disabling them.
| Category | When it is sent | Setting that triggers it |
|---|---|---|
| Owner of a Meeting | 1 h before a meeting organized by a team member, to every attendee, to inform them that the assistant will record. | Meetings covered by the GDPR email > Meetings I own, on Meeting rules. |
| Invited to a Meeting | 1 h before a meeting where a member is invited without being the organizer, to warn that their assistant will ask to join. | Meetings covered by the GDPR email > Meetings I'm invited to, on Meeting rules. |
There is no enable switch on this page: to stop sending a reminder, disable the matching setting in Meeting rules. The message the assistant writes in the chat when joining the meeting is not an email template: it is the Disclaimer message on the assistant tab of My logo.

| Setting | Options | Default | Requires | Effect |
|---|---|---|---|---|
| Team | Locked | The template's team | — | Reminds you which team the template applies to. |
| Language | One of the company's call languages | The template's language | — | Choosing another language replaces the subject and content with that language's default text (English, Spanish, French or Dutch). Going back to the initial language restores your text. |
| Subject | Free text | Notification: $meeting_name - $meeting_date $meeting_start | — | Subject of the email. |
| Content | Free text, with the dynamic data listed under the field | Reminder text provided by Leexi | — | Body of the email. There is no separate signature: the signature is part of the content. |
Saving is refused if the content uses dynamic data missing from the list, or if the meeting button or opt-out button line does not have the expected form.
Dynamic data
| Data | Owner of a Meeting | Invited to a Meeting |
|---|---|---|
| Name of the Leexi person | $organizer_name | $operator_name |
| Name of their company | $organizer_company | $operator_company |
| Meeting name | $meeting_name | $meeting_name |
| Meeting date | $meeting_date | $meeting_date |
| Start time | $meeting_start | $meeting_start |
| Meeting button | <$meeting_url>(button text) | <$meeting_url>(button text) |
| Opt-out button | <$opt_out_bot>(button text) | <$opt_out_bot>(button text) |
Both buttons must sit on a line of their own, in the exact form <$meeting_url>(Your text here). The opt-out button lets the recipient refuse the recording of the meeting.
