Zoho Calendar
Who is this for?
- Users whose calendar is managed in Zoho Calendar, on its own or within Zoho Workplace and Zoho One.
- Companies that hold their meetings with Zoho Meeting.
Permissions and licenses
- License required: all licenses, calendar integrations are available on all plans.
- Each user connects their own Zoho account, no special role is required.
How to use it
Open your personal integrations
From your Leexi account, go to Integrations.
Authorize the Zoho Calendar integration
On the Zoho Calendar card, click Authorize, sign in to your Zoho account and then approve the requested permissions. Leexi then gets read access to your calendars, their events and your profile, which allows it to automatically send the assistant to record your meetings.
Check that your meetings are detected
A few minutes after activation, your upcoming meetings appear on your dashboard under Your upcoming meetings. There you can choose, meeting by meeting, which ones the assistant should join.
Going further
Detected meetings
Leexi reads your default Zoho calendar and keeps every event that contains a video conferencing link: Zoho Meeting, but also Google Meet, Microsoft Teams, Zoom, Webex or any other service supported by the assistant. The link is looked up in the Zoho Meeting attached to the event, then in its location, its URL and its description.
Recurring meetings
Zoho Calendar does not let you attach a Zoho Meeting to a recurring event, and recurring meetings scheduled from Zoho Meeting do not appear in Zoho Calendar. For a recurring meeting, create a recurring event in Zoho Calendar and paste the meeting link (Zoho Meeting, Google Meet, Microsoft Teams…) in its location or description: every occurrence is then detected.
The region of your Zoho account
Zoho hosts each organization in a region (Europe, United States, India, Australia…). The first Zoho account connected in your company sets this region for Leexi: your colleagues must sign in with an account from the same region. The region can change again once no user in the company is connected anymore.
Frequently asked questions
Check the following points:
- the meeting is in your default Zoho calendar, not in another calendar of your account;
- the event contains a video conferencing link, or a Zoho Meeting is attached to it;
- for a recurring meeting, the event is created in Zoho Calendar with the link in its location or description;
- it is not an all-day event;
- you have not declined the invitation;
- the meeting takes place within the next seven days.
Synchronization runs every 15 minutes: allow for this delay after creating a meeting before it appears.
Leexi deactivates the integration when Zoho persistently denies access: authorization revoked from your Zoho account, password changed or account deactivated. You then receive a notification.
Reconnect the integration from Integrations: your upcoming meetings are detected again at the next synchronization.
Things to watch out for
- Only your default Zoho calendar is read: meetings placed in another calendar are not detected.
- All-day events and declined invitations are ignored.
- Recurring meetings scheduled from Zoho Meeting do not appear in Zoho Calendar and are therefore not detected.
- Synchronization runs every 15 minutes: a meeting created at the last minute may not be detected in time.
